Job Objectives
The Administrative Assistant will:
- Facilitate effective communication and workflow within the department.

Key Responsibilities
Under the supervision of the Programme Management and Administrative Officer, the incumbent will:
- Receive, screen, track, and distribute correspondence while ensuring follow-up on critical issues.
- Draft administrative correspondence, reports, summaries, and technical documents.
- Prepare travel requests, book flights and hotels, and manage related travel arrangements.
- Initiate contracts for consultants and Agreements for Performance of Work (APW) via Oracle/GSM procurement modules.
- Track procurement, receipt of deliverables, and initiate payments.
- Maintain filing systems and databases for administrative records.
- Organize departmental meetings, workshops, and seminars, including preparation of invitations, participant lists, and presentation materials.
- Screen visitors and telephone calls with professionalism and discretion.
- Perform other administrative duties as required and support cross-departmental tasks.
Required Qualifications
Education:
- Essential: Secondary school graduation with thorough training in secretarial or clerical duties.
- Desirable: University degree in relevant areas or specialized secretarial training.
Experience:
- Essential: Minimum three years in secretarial or clerical roles.
- Desirable: Experience with WHO, other UN agencies, or international organizations; familiarity with Oracle or ERP systems.
