Purpose of the Role

The Travel Administrative Assistant ensures smooth travel arrangements, compliance with ICRC travel policies, and effective use of booking systems. The role serves as a functional, advisory, and compliance-focused position, supporting staff and field offices with travel planning and operational guidance.

Travel Organization & Coordination

  • Book, modify, and cancel flights and accommodations for Beginning of Mission (BoM) travel.
  • Use internal systems like ServiceNow, NEO, Connect Profile, Expert Auditor, and other booking platforms.
  • Maintain accurate records and ensure compliance with ICRC Travel Rules and Policy.

Functional Support & Troubleshooting

  • Provide operational support for travel tools and platforms.
  • Resolve technical issues, adjust bookings manually if needed, and escalate unresolved problems to the Belgrade support team.

Advisory & Compliance Role

  • Serve as the primary contact for travelers, providing guidance on travel policies and processes.
  • Monitor adherence to travel procedures, report deviations, and prepare compliance reports.

Knowledge Management & Policy Improvement

  • Document issues to build a knowledge base for travelers and administrative staff.
  • Contribute to improving travel policies and strategies in coordination with the Travel Management Team.

Additional Duties

  • Follow up on all travel-related correspondence.
  • Represent ICRC professionally in meetings, field activities, and interactions with partners.
  • Support other departments when necessary and participate in professional development initiatives.

Selection Requirements

  • Education: University degree or equivalent experience.
  • Experience: Minimum 2 years in business travel administration or similar.
  • Language Skills: English (required); French and/or Spanish (strong asset).
  • Technical Skills: Knowledge of GDS functions, ticketing systems (ServiceNow), and Microsoft Office.
  • Other Skills: Strong organizational, communication, and problem-solving skills; ability to work in a fast-paced, multicultural environment; commitment to organizational values.
  • Additional Requirements: Willingness to work shifts covering Belgrade and Manila time zones, ability to perform under pressure, and motivation by humanitarian work.

Relationships

Internal: Collaborates with Travel Focals, Global Mobility Team, ICRC welcome teams, HQ staff, and all travelers. Escalates complex issues to the Travel Management Team.

External: Works with travel system providers to ensure data quality and optimize service delivery.
